This notice explains how your personal data is processed when you visit the website, contact the foundation or make a preliminary application for education or student accommodation.

What information is processed?

When you contact us or make a preliminary application, your name, surname, telephone number, email address if provided, and the content of your request are processed. Preliminary applications also collect the student details and, where needed, parent or legal representative details requested in the form, including school, education level, term and application preferences.

When you visit the website, service providers may process technical data such as your IP address and browser and device information to deliver and secure the site.

No identity document or medical certificate is requested at the preliminary application stage. Please do not enter health information, identity numbers or other personal information unrelated to your request in free-text fields.

Purposes and legal grounds for processing

Your contact details and request are processed to respond to you, provide the necessary explanations and follow up your request. This processing is based on the Foundation’s legitimate interests under Article 5/2-f of the Turkish Law on the Protection of Personal Data (KVKK), provided that it does not harm your fundamental rights and freedoms.

Information needed for pre-registration steps taken at your request is processed under Article 5/2-c of the KVKK, insofar as it is directly related to entering into a contract. A preliminary application does not guarantee final registration or acceptance.

Information needed to meet legal obligations and respond to personal data requests is processed under Article 5/2-ç of the KVKK. Records needed to establish, exercise or protect a right are processed under Article 5/2-e.

Collection methods and access

Information is collected electronically through the website’s forms and emails you send to the Foundation, using wholly or partly automated methods.

Application and enquiry records are accessible to authorised Foundation staff only to the extent required by their duties. Applications are not published in a public list.

Service providers and systems outside Türkiye

This version of the website is delivered through OpenAI Sites using Cloudflare infrastructure. Preliminary application and juz processes continue through Google Apps Script, and institutional email through Google Workspace / Gmail. Technical access and transaction logs may be processed when these services operate, and providers may use systems outside Türkiye. The service providers’ own privacy notices also apply.

Where legally required, the necessary information may be disclosed to the relevant public bodies or authorities competent in legal proceedings.

For information about processing carried out by Google within its own services, you can also consult the Google Privacy Policy:https://policies.google.com/privacy?hl=en

Retention and deletion

Your personal data is retained for as long as necessary to assess and resolve your request. Where a legal retention obligation applies or there is a valid reason to protect a right, only the records needed for that purpose are retained.

When the grounds for processing cease to apply, data is deleted, destroyed or anonymised in accordance with the applicable legislation. Service providers’ technical backup and restoration processes are completed separately under the terms of the relevant service.

Cookies and external links

This website does not load a measurement tool for visitor counting, behavioural analysis or advertising tracking, and does not use cookies for those purposes. Images and fonts are hosted with the site. Technical records that service providers may process to deliver and secure the site are explained above.

The language you select using the EN/TR link is stored in this browser as “tr” or “en”. It is used only to remember your choice and open your chosen version on later homepage visits. It does not determine your location or track visits or advertising activity. You can change the preference using EN/TR or remove it by clearing this website’s data in your browser.

When you follow a link to another website or another online service, that service’s own privacy terms apply.

Your rights and how to make a request

Under Article 11 of the KVKK, you may:

  • Find out whether your personal data is being processed and, if so, request information about that processing.
  • Find out the purpose of processing and whether your data is used in accordance with that purpose.
  • Find out which third parties receive your data in Türkiye or abroad.
  • Request correction of incomplete or inaccurate information.
  • Request deletion or destruction of your data when the conditions set out in the law are met.
  • Request that corrections and deletions be communicated to third parties to whom the data has been transferred.
  • Object to a result against you arising solely from automated analysis.
  • Seek compensation if unlawful processing causes you harm.

You may send your request in writing to the Foundation address above, or to info@civadana.com from an email address previously supplied to the Foundation and registered in our system. Your right to use other request methods provided by law is unaffected.

Requests are resolved as soon as possible, depending on their nature, and within thirty days at the latest. Where necessary, information proportionate to the request may be required to verify your identity and prevent disclosure of your information to another person.

Participation in juz and khatm programmes

The juz process stores the programme code, chosen sections, a random registration code, verification and reading status, transaction times and consent record. A participant’s name and telephone number are not requested. The email address is temporarily used to send the verification code and private record details; the permanent reservation retains verification status rather than the address. Verification codes last 10 minutes; the resend binding, which contains an email digest, lasts up to 20 minutes. Other visitors see only programme and juz statuses.

As participation may reveal information about religious beliefs, your separate explicit consent is obtained for reservations, approval and reading progress tracking. This consent does not mean that you agree to receive announcements about later programmes or give general permission for international data transfers. You may withdraw your consent by cancelling your registration or contacting info@civadana.com. Withdrawal does not affect earlier lawful processing.

In new programmes, confirming the email code automatically commits the chosen juz. The organiser is not emailed for every registration. For programmes created after this update, the organiser and admin@nurayahs.com receive the programme and completion status when all 30 juz are reported as read; existing programmes retain their notification setting; participant addresses are not shared. Copies held by the email service follow that service’s retention terms. Reservation records use Google Apps Script; the retention, deletion and overseas processing information above applies. Participation does not create a mailing subscription.
